Troubleshooting Missing, Duplicate, or Unmatched Transactions

Overview

Missing deposits, duplicate income, and transactions that will not Match in your bank feed are among the highest-effort support issues. This guide is a step-by-step checklist to diagnose the problem, fix it safely, and know when to stop and contact FlexBooks support.

Golden rule: Never click Add on a payment-processor deposit if you use FlexBooks. FlexBooks has already recorded the income. Adding creates a duplicate.

Quick diagnostic checklist

Work through these in order:

  1. Is FlexBooks still connected? Check DrumBeat in Mindbody API Integrations and FlexBooks MindBody sync in QBO Apps. See Why Did My FlexBooks Account Stop Syncing?
  2. Is the transaction type a deposit? Only Match Deposits — never Invoices, Sales Receipts, or Credit Memos.
  3. Are you using Match or Transfer correctly? Transfirst = Match. Mindbody Payments = Record as Transfer from clearing account.
  4. Is the date off? Match to a deposit dated 1–5 days before the bank feed date.
  5. Was the deposit already matched or added? Check the Categorized tab in your bank feed.

Problem: No Match button on a deposit

Possible causes

  • FlexBooks expected deposit was already matched to something else
  • Amount is off by even $0.01
  • An auto-rule Added the deposit instead of matching
  • You are on Mindbody Payments but trying to Match instead of Transfer
  • Wrong payment processor filter (mixing Transfirst and MINDBODY deposits)

What to do

  1. Go to Banking > Categorized and search for the deposit amount and date.
  2. If it shows Added, undo it and return to For Review.
  3. Check your checking register for an existing FlexBooks deposit on nearby dates.
  4. If still no match, stop and email support with the date, amount, and a screenshot. Do not Add the transaction.

Problem: Income looks doubled

If your Profit & Loss income is roughly 2× what you expect, you likely Added bank feed deposits that FlexBooks had already recorded.

How to confirm

  1. Run a P&L for the affected month.
  2. Go to Banking > Categorized. Filter for your processor (Transfirst or MINDBODY).
  3. Look for deposits with status Added instead of Matched.

How to fix

  1. For each incorrectly Added deposit, click Undo in the Categorized tab.
  2. Disable any bank rules that auto-Added processor deposits.
  3. Return to For Review and Match or Transfer correctly.

Problem: Missing deposits in QuickBooks

Check FlexBooks sync first

  1. Confirm DrumBeat is active in Mindbody.
  2. Confirm data exists in Mindbody for the date range (run a Mindbody sales report).
  3. Allow one business day for sync after reconnecting an API.

Check QuickBooks registers

  • Undeposited Funds — sales may be recorded but not yet deposited. See What is Undeposited Funds?
  • Clearing account — gross sales waiting for transfer (Mindbody Payments). See Clearing Accounts 101
  • Checking register — expected deposits FlexBooks created for matching

Still missing?

Contact support with the Mindbody sale date, amount, payment method, and whether the sale appears in Mindbody reporting but not in QBO.

Problem: Duplicate sales receipts or entries

Duplicates usually mean the same Mindbody transaction synced twice or was manually entered in QBO in addition to the FlexBooks sync.

  • Search QBO for the exact amount and date across Sales Receipts, Invoices, and Deposits.
  • Do not delete transactions without support guidance — you may remove the correct entry and keep the duplicate.
  • Contact support with both transaction IDs if you see two entries for one Mindbody sale.

Problem: Unapplied payments balance growing

Unapplied payments mean client payments were recorded but not applied to an invoice. See Handling Unapplied Payments for the full workflow.

Problem: Revenue mapped to wrong income account

  1. Identify the product/service in Mindbody for the miscategorized sale.
  2. In QBO, open Products and Services and check the income account mapping.

Auditing Mindbody against QuickBooks

For systematic mismatches across a date range, run a full audit:

  1. Export Mindbody sales detail for the period.
  2. Run QBO transaction detail by account for the same period.
  3. Compare totals by payment method and income category.

  • Screenshot of the bank feed transaction (For Review or Categorized tab)
  • Date and exact amount
  • Payment processor (Transfirst or Mindbody Payments)
  • Whether you clicked Add, Match, or Transfer
  • Mindbody Site ID and FlexBooks account email
