How Do I Download My Mindbody Payments and Transfirst Reports?
Which report you need depends on who processes your cards, and the two answers have almost nothing in common. Start here.
Open your Chart of Accounts and look for an account called Credit Card Processor. If it is there, you are on Mindbody Payments. If it is not, and your card money goes to Undeposited Funds, you are on TransFirst. Ask us if you are not sure and we will tell you.
If you are on Mindbody Payments
You need one report: the Payouts Report. It shows what Mindbody actually paid into your bank and the fees it took out first, which is what your monthly fee entry is built from. See How to Calculate your monthly MB Payments Fees and Fee Handling & Net vs. Gross Deposits.
How to get it. Mindbody's own instructions are here: Payouts report. Only the Mindbody site owner account can open it.
These screenshots show how to generate it for September onwards:
You do not need any of the TransFirst reports below, and you will not have access to them.
If you are on TransFirst
When a deposit will not match, we usually ask for all three of these together, because each one shows a different side of the same money. See How Do I Match My Deposits? and Troubleshooting Missing, Duplicate, or Unmatched Transactions.
1. Your Mindbody Settled Transactions report
What it shows: every card sale Mindbody recorded, one row each.
In Mindbody, go to Reports > Payment Processing > Settled Transactions. Change the pulldown that says Summary View to Detail View, choose your dates, and click XLS to download it.
2. Your TransLink detailed transactions report
What it shows: the same sales as your processor recorded them, grouped into the batches it actually paid you.
In TransLink, click Transactions in the left-hand menu, then Export to Excel with Details.
3. Your TransLink statements
What it shows: the monthly summary, including fees.
In TransLink, click Statements in the left-hand menu.
If you cannot get into TransLink, or the statement is hard to read, Mindbody has guides: Reading your Mindbody Processing Statement and fees (TSYS) and Register for TransLink.
